About This Position

The Clinic Manager is responsible for leading and directing operations and staff within one or more TotalCare clinics. The Clinic Manager works closely and consults with medical, clinical, and administrative staff to develop, implement, and maintain programs that enhance quality of care and achieve a high level of patient, employee and provider satisfaction. The Clinic Manager will ensure full compliance with all applicable state and federal law in application of and fulfillment of the required job duties.

Responsibilities

  • Responsible for direction of TotalCare clinic staff; supports and empowers staff to embrace and uphold the company's mission, vision and value statements
  • In coordination with other clinic leadership and executive team, develops and updates organizational design for maximum productivity and control of quality and costs
  • Maintains high level of confidentiality regarding financial, patient and employee records at all levels
  • Assists executive team in developing and implementing the strategic long and short-term business plans (ie: patient traffic measurables, marketing goals, operating budget, etc)
  • May identify trends in the marketplace and participates in the development of new products/services and strategies to increase customer satisfaction and remain competitive
  • Develops positive relations with local businesses, vendors, and the community
  • Creates a culture of exemplary customer service, leading by example, and providing constant mentoring and coaching to staff
  • Demonstrates an ability to be flexible, organized, and function under stressful situations; may be required to work outside of traditional work hours to meet the overall demands of the job and/or take calls after work hours
  • Overseeing the modification/development and compliance of all current policies and procedures, forms/documents to accommodate operation requirements and/or required changes in accordance with Local, State and Federal laws
  • Schedules and maintains appropriate levels of staff, with the ongoing goal of having enough staff scheduled to efficiently operate the clinic while avoiding significant overtime pay or overstaffed periods
  • Prepares provider schedule to maintain adequate provider coverage levels that meet the requirements of clinical & patient needs
  • Coordinates with multiple other departments to ensure optimal employee experience of direct staff while remaining compliant with company policy & procedure
  • Recruiting department: communicates hiring needs and is involved in the interviewing and employee selection process
  • People & Culture (HR) department: serves as a resource in HR-related issues and employee morale, including evaluating & termination of staff, harassment investigations, on-the-job injuries, unemployment claims and labor disputes, as well as culture-focused initiatives such as celebrations of milestone anniversaries and events and employee appreciation events
  • Payroll department: reviews and submits all employees' timesheets error free by the pre-set deadline per company policy
  • Accounting department: maintains accounting policy & procedures to service all accounts and outstanding invoices in a timely manner; may be responsible for a company-issued credit card and must abide by all policies regarding appropriate use and proper expense reporting
  • Ensures daily team huddles are held to relay important updates, reminders and build team bonding
  • Oversees patient complaints and resolution process
  • Regular attendance and timeliness are essential functions of this position
  • Daily operations of the facility including but not limited to: maintenance, inventory, housekeeping, linen services, and proper function of the utilities
  • Check and respond to emails in a timely manner
  • Attend one on one meetings with direct supervisor
  • May be required to fill-in as Clinic Manager at other locations when fellow leaders are out of office
  • May be required to assist in daily operations of any or all departments depending on staffing and clinical needs of the facility, including but not limited to: maintenance, answering phone calls, assisting patients on the medical floor or in the front office, checking patients in, rooming patients, and assisting providers
  • Leadership: attend regular meetings with the leadership team to maintain coordination on leadership, efficiency, clinic operations, goals, standards and special projects
  • Leadership: attend routine leadership training courses; may need to present or lead discussions as needed
  • Leadership: hold departmental staff meetings as well as one on one meetings with direct reports
  • Leadership: execute annual reviews for direct reports
  • Leadership: accurately document re-training conversations with direct reports and execute disciplinary actions when they arise
  • Performs other duties as assigned or requested by supervisor or member of Executive Team

Requirements

  • Ability to maintain confidentiality pertaining to privileged employee, patient and/or business information; the routine duties of this position involve a high level of exposure to Protected Health Information (PHI), and strict adherence to HIPAA regulations is required at all times
  • Competent in EMR programs (prior experience with eClinicalWorks an advantage) as well as standard computer usage such as email, internet browser, word processing and spreadsheet programs
  • Able to enhance professional growth and development through participation in educational programs, current literature, conferences and workshops; shows responsibility for own professional practice and on-going education
  • Maintains professionalism in demeanor, attitude and appearance; adheres to dress code policy
  • Demonstrate knowledge and clinical skills necessary to provide high-quality patient care
  • Maintains all required certifications and licensure per regulatory standards; completes annual continuing education requirements
  • Ability to read, write and speak English to converse with patients, colleagues and vendors; additional languages are an advantage, but not required
  • Reports to work on time and as scheduled, completes work within designated time
  • Communicates and embodies the mission, ethics and goals of the company
  • Strong judgement and leadership skills as well as ability to be a high-functioning team player
  • Detail oriented with exceptional interpersonal communication skills
  • Ability to accurately read and write medical terminology
  • Ability to work in a public setting using sound judgement in a high-pressure environment while maintaining excellent patient care and customer service
  • Ability to establish & maintain effective working relationships with employees, patients, vendors and the community

Schedule

  • Full Time Day shift
  • Work is generally performed during standard business hours
  • Occasional extended hours or weekend work may be required based on staffing needs, special events or on-call circumstances

Education & Certifications

  • Bachelor's or Master's Degree in related field preferred
  • Experience in a management position (minimum of two years preferred)
  • Knowledge of OSHA & HIPAA standards, laws and requirements

Supervisory Responsibility

Direct supervision of all operational staff members assigned to their location(s).

Physical Demands

Must be able to bend, lift, twist, sit and/or stand/walk for up to 12 hours daily. Communicate with patients and/or fellow staff members who have inquiries; must be able to exchange accurate information. Must be able to move between work areas, office machinery, patient exam rooms and to other various locations throughout the facility. Must be able to see the computer screen and able to participate in training classes where computer screens are referenced or by handouts and/or hands-on training. The physical demands described here are representative of those that must be met by an individual to successfully perform the essential functions of this job. Work Environment

No adverse environmental conditions; position is located indoors. Some risk of physical exertion when working in a patient-facing capacity, as well as sedentary and usual office working conditions with little, if any, physical exertion or hazard. This position involves the possibility of exposure to blood, bodily fluids or tissues as well as airborne contagions; proper PPE is provided for employee protection when needed. Travel Requirements: Travel between TotalCare facilities, administration buildings, and/or local off-site venues for meetings, training sessions or shift coverage may arise and is considered within the scope of this position.
