About This Position

The Marketing Operations Coordinator is responsible for executing and optimizing patient-focused marketing campaigns within HubSpot. This role owns the day-to-day management of email and SMS campaigns, campaign performance reporting, and data cleanup within HubSpot.

Job Description

Working closely with the digital/brand team, this position ensures our marketing automation runs smoothly, effectively nurtures patients, and delivers measurable results. This role reports to the Senior Marketing Operations Manager.

Responsibilities

  • Build, launch, and manage multi-channel marketing campaigns in HubSpot (emails, SMS/texts, workflows, etc.)
  • Execute patient nurturing sequences
  • Test and optimize campaign elements for better open rates, click-through rates, and conversions
  • Coordinate with the digital/brand team to ensure creative assets are ready for deployment
  • Monitor campaign performance and create regular reports on key metrics (open rates, click rates, conversions, ROI)
  • Provide insights and recommendations to improve future campaigns
  • Track overall marketing automation performance and patient engagement trends
  • Work within HubSpot's Data Hub to maintain clean, accurate contact data
  • Perform regular data cleanup, deduplication, segmentation, and list management
  • Ensure compliance with data privacy standards and best practices
  • Assist with other marketing operations tasks and process improvements as needed
  • Help maintain and refine campaign templates, workflows, and automation processes
  • Collaborate cross-functionally with marketing teams to support patient pipeline goals
  • Check and respond to emails in a timely manner
  • Attend routine training classes, company-wide meetings, departmental/location-specific staff meetings as well as one-on-one meetings with direct supervisor
  • Represent the organization in a positive and professional manner in the community
  • Maintain employee and patient confidentiality at all times
  • Perform other duties as assigned or requested by supervisor or members of the Executive Team

Requirements

  • Ability to maintain confidentiality — routine duties involve a moderate level of exposure to Protected Health Information (PHI); strict adherence to HIPAA regulations is required
  • Strong attention to detail and organizational skills
  • Comfortable working with data and basic reporting (Google Sheets + HubSpot reporting)
  • Excellent written communication skills
  • Healthcare or patient-facing marketing experience is a plus but not required
  • Maintains professionalism in demeanor, attitude and appearance; adheres to dress code policy
  • Ability to read, write and speak English to converse with patients. Additional languages are an advantage, but not required
  • Strong judgment and leadership skills as well as ability to be a high-functioning team player

Education & Certifications

  • 0–2 years of experience in marketing, marketing operations, or digital campaign execution
  • Required: Hands-on experience with a marketing automation or CRM platform (HubSpot, Mailchimp, Klaviyo, Constant Contact, etc.)
  • Preferred: Direct experience with HubSpot (Marketing Hub, Data Hub, workflows, email/SMS campaigns)
  • HubSpot Certification (or willingness to earn it quickly) is highly desired

Physical Demands

Must be able to remain in a stationary position (sitting or standing at a desk) for 80%–90% of the work shift. Constantly operates a computer and other office productivity machinery, such as a laptop, dual monitors and peripheral devices. Frequent and repetitive use of hands, wrists, and fingers to operate a keyboard, mouse and/or touchscreen for data entry, CRM management and report generation. Occasionally required to reach with hands and arms to access files or office equipment. Specific vision abilities required include close vision and the ability to adjust focus; must be able to read small text on digital screens and analyze complex data visualizations or spreadsheets for extended periods. Frequently communicates with internal marketing via video conferencing, telephone and email. Occasionally move office supplies, marketing materials or laptop equipment weighing up to 20 pounds. This position is primarily sedentary. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Work Environment

No adverse environmental conditions; position is located indoors in a professional, climate-controlled office environment with standard lighting and temperature. The workspace may consist of an open-office layout, cubicles, or shared workstations. Noise level is typically moderate (colleagues speaking, phone notifications, standard office machinery). Sedentary and usual office working conditions with little, if any, physical exertion or hazard. Low exposure to blood, bodily fluids or tissues as well as airborne contagions; proper PPE is provided when needed. Travel Requirements: Minimal travel expected (typically less than 5%). Travel between TotalCare facilities and administration buildings for meetings and training sessions may arise and is considered within the scope of this position.
