About This Position
TotalCare is seeking a highly organized and detail-oriented Physicians Operations Coordinator to support our medical staff operations across our network of freestanding emergency rooms. This role is critical in ensuring smooth physician scheduling, credentialing, and administrative support.
Job Description
The Physicians Operations Coordinator serves as the central point of contact for physician administrative needs, coordinating schedules, managing credentialing processes, and ensuring compliance with regulatory requirements. This position works closely with medical directors, nursing staff, and administrative leadership to maintain efficient operations across all TotalCare facilities.
Responsibilities
- Coordinate and manage physician scheduling across multiple TotalCare facilities
- Maintain and update physician credentialing files, ensuring all licenses, certifications, and privileges are current
- Serve as the primary liaison between physicians and administrative departments
- Process physician onboarding documentation and coordinate orientation activities
- Track and manage physician time-off requests, shift swaps, and coverage needs
- Prepare reports on physician staffing levels, hours worked, and scheduling metrics
- Coordinate with HR on physician contracts, renewals, and compensation matters
- Maintain confidential physician personnel files in compliance with regulatory standards
- Support medical directors with administrative tasks and special projects
- Facilitate communication between physicians and facility leadership
- Assist with physician recruitment activities as needed
- Ensure compliance with state and federal regulations regarding physician documentation
Requirements
- Excellent organizational and time management skills
- Strong written and verbal communication abilities
- Proficiency in Microsoft Office Suite and scheduling software
- Ability to handle confidential information with discretion
- Strong attention to detail and accuracy
- Ability to work independently and manage multiple priorities
- Professional demeanor and excellent interpersonal skills
- Knowledge of medical credentialing processes preferred
- Familiarity with healthcare regulatory requirements (HIPAA, Joint Commission) preferred

Education & Certifications
- Bachelor's degree in Healthcare Administration, Business Administration, or related field preferred
- Associate's degree with equivalent experience considered
- Minimum 2 years of experience in healthcare administration or physician practice management
- Experience with physician scheduling and credentialing systems preferred
- Medical office experience required

Physical Demands
